Job Summary:

The Office Coordinator will be the first point of contact for internal office administrative needs and will provide administrative support to the AHM Executive team as needed. This position will require the coordinator to display a high level of courtesy and professional warmth along with great organizational skills to function efficiently in this fast-paced environment. 


Role, Responsibilities, and Key Performance Areas:

  • Act as the first point-of-contact for employees, guests and vendors entering the AHM office
  • Handles incoming and outgoing telephone calls diplomatically, efficiently, and effectively with the highest degree of professionalism
  • Coordinate details of executive and senior level meetings (including sending out agendas catering, set-up, clean-up, photocopies, and additional requests).
  • Manage multiple calendars, meetings, and outlook contacts to support proper coordination of meetings, events, and activities
  • Manage executive travel reservations and schedule(s) as requested 
  • Assists with marketing and business development initiatives and materials
  • Proofread documents for accuracy and ensure they are properly organized and in the final presentation stage as requested; including providing assistance with preparation of Board and Committee meeting materials
  • Prepare expense reports for executives, as requested and check requests for external vendors as appropriate
  • Maintain company material and information in a confidential manner
  • Maintains common spaces for appearance and functionality (including kitchen & conference rooms) for both the AHM and CFHOF common areas
  • Processes incoming and outgoing mail, and handles shipping and receiving tasks, as needed.
  • Assist with personnel-related projects as needed (parking/transportation program, new team member orientation, and team member events) 
  • Serves as a liaison between facilities management and office staff for physical office needs (supplies, cleaning, temperature needs, etc.)
  • Performs other duties, as assigned

Knowledge, Skills, Attributes, and Abilities:


  • High school graduate with 2-3 years of experience working as an Administrative Assistant or equivalent required; Associates degree or two years of college preferred
  • Must be detail and deadline oriented
  • Must possess excellent written and verbal communication, organizational, and interpersonal skills. 
  • Must have extensive knowledge of computer software applications, including all products in the Microsoft Office suite and spreadsheets are required.
  • Must have basic knowledge of all office equipment and the ability to learn emerging technologies
  • Must have the ability to exercise considerable tact and discretion when dealing with sensitive issues and confidential information. The ability to maintain the highest level of confidentiality is essential
  • Ability to show initiative with minimal supervision
  • Experience with non-profit preferred
  • Must be able to manage multiple tasks efficiently, with a sense of urgency, and be adaptable to the changing needs of the organization
  • Must be a team player, able to work outside the core business hours as needed, and able to manage a variety of tasks


Physical Demands:


  • Requires sitting the majority of the shift
  • The coordinator frequently is required to stand, walk, and reach with hands and arms.
  • The coordinator must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds, with equipment if necessary
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
